Scheduling

Candidate scheduling best practices for staffing agencies

4 min read

Scheduling is where small data problems become visible problems. A candidate booked at two sites, a shift nobody confirmed, an order that was filled on paper but not in reality: most of these come from not having availability and assignments in the same place.

Capture availability and time off at the source

Ask candidates to submit availability and time-off requests in a consistent way, rather than by text message to whichever coordinator they know. A request that is recorded can be checked automatically; one that lives in a thread cannot.

Check for conflicts before you confirm

Before assigning a candidate, check whether they are already scheduled for an overlapping shift and whether they are available. Doing this at the moment of assignment is far cheaper than fixing it the night before.

Define the order clearly

Good orders state the client, site, role, number of people, dates and shift times. If an order has several roles, treat each role line separately so you can see exactly which part is still open.

Make fulfillment visible

Track each order as open or closed, and look at how many positions are filled against how many were requested. A simple weekly look at unfilled orders tells you where to recruit.

Keep the confirmation loop short

Whatever channel you use to confirm shifts with candidates, make sure the result is recorded in your system, not only in the message thread.
